RECORDS MANAGEMENT & RECORDS STORAGE
Our records management services include:
Can we use our own boxes for records storage?
Yes. In addition, we sell boxes that are made specifically for the storage and transportation of records. The majority of records are stored in 1.2 cubic foot boxes or 2.4 cubic foot boxes. These sizes are designed for maximum utilization of space as well as ease in handling. OSHA recommends the usage of 1.2 cubic foot containers. Clients are welcome to submit their own boxes for records storage provided that they are in average condition.
How are my records stored?
Client’s records are stored on industrial-strength steel racking to maximize space. Every record strored in FileVault's archive has a barcode and can be retrieved in an orderly manner.
Do you have pickup and delivery service?
FileVault is a full-service records center that can accommodate all of your pickup/delivery requirements. Same day, next day and rush services are available 24/7/365.
How fast can we get our records and will you retrieve them for us?
Same day delivery service is available for items requested before 11:00 a.m. at your regular rate. Requests made after 11:00 a.m. will be delivered the morning of the next business day. In addition, we can set specific days for your delivery schedule (e.g. weekly, monthly, or quarterly).
Will my records be safe?
Security of your records is FileVaults top priority. FileVault has perimeter fencing, security cameras, and controlled access to the building. In addition, our building is unmarked.
Why FileVault records storage over a self-storage center?
- Cost
- Safety - we only store records which means your files are not located near hazardous materials
- Pick-up and Retrieval of your records when you need them
- Reduce employee concern over moving heavy boxes
- Additional services provided on an as-needed basis
- Fire protection
Should I keep my records or go paperless in my office?
You should only image what you feel you may need, not all your records. In addition, it would take 50 years of records storage to equal the cost of digital imaging. Today digital imaging becomes even a greater challenge for clients because of the rapidly changing technology. Once you’ve made the investment, technology can change right under you, making it difficult to retrieve copies of your documents. The use of e-mail can be defined as a legal record which has specific rules about retention. As part of an overall records management strategy you can make scanning part of your backup strategy.
Do you destroy records, and can you provide a listing of what has been destroyed?
We send destruction notices per request and require our clients to sign off on a Destruction Authorization Form prior to any records being destroyed.
